Speakfire Privacy Policy

This Privacy Policy explains how Speakfire, Co. ("Speakfire," "we," "us," or "our") collects, uses, and protects information when you use our live transcription and translation service (the "Service"). It's incorporated by reference into our Terms of Service.
1. Who This Applies To
- Speakers — the authenticated pastors, AV volunteers, and organization members who run sessions.
- Audience members — the unauthenticated congregants who follow along at your organization's public link (
/a/[slug]).
2. Information We Collect
- Account information (speakers). First name, email, and authentication details at signup (Google sign-in may share your name and profile photo). Organization name, audience link, and optionally your organization's website URL (during onboarding or in account settings). If you provide a website, it is shown on your public audience page as a link from your organization name.
- Team invites. Invitee email addresses, when you invite someone to your organization.
- Live audio (speakers). Streamed in real time to our transcription and translation providers for processing. Not recorded or stored. If audio listening is enabled, audio may also route through additional real-time providers.
- Transcripts and translations. Stored in your organization's account while active. Visible to anyone with your organization's public audience link — no account needed to view.
- Audience interactions. Language preference selections (not name or email). If audio listening is enabled, audience devices connect to a real-time audio provider.
- Technical and usage data. IP address, browser/device info, and usage data, collected automatically across speaker and audience pages.
- Payment information. Processed by Stripe. We never see your full card details.
- Anything you send us directly. Support requests or other messages you send to contact@speakfire.co.
3. How We Use Your Information
- To provide live transcription, translation, and the audience experience
- To manage accounts, organizations, and billing
- To communicate with you and respond to your questions
- To send you service-related, transactional, and promotional emails as described in Section 4
- To monitor, secure, and improve the Service
- To detect and prevent abuse
- To comply with legal obligations
We do not use your audio, transcripts, or translations to train our own AI models. Our third-party speech and translation providers (see Section 6) process this data only to deliver the Service.
4. Email Communications
When you create an account or interact with the Service, we may send you emails about the Service, including onboarding tips, product updates, and other promotional communications. If you receive a promotional email from us and do not want future promotional emails, use the unsubscribe link at the bottom of the email to opt out. You will continue to receive transaction-related emails about products or services you have requested (for example, billing receipts, payment confirmations, team invitations, and account-security messages). We may also send you certain non-promotional communications about us and the Service that you cannot opt out of while you have an account (for example, important service announcements, security notices, or updates to this Privacy Policy or our Terms of Service).
5. Product Analytics
We use PostHog for product analytics and, in production, session replay — recordings of on-screen interactions, not audio — on both the speaker workspace and audience pages. Form inputs are masked, but transcript and translation text shown on screen may still appear in a replay. Speaker-side analytics events may include account details like your email and organization name. We never send live audio to our analytics provider.
6. How We Share Your Information
We don't sell or rent your personal information. We share it only with:
- Service providers for transcription, translation, hosting, database/authentication, real-time audio (optional listening feature), payments, analytics, and email — each processes data only to perform their function for us.
- Legal authorities, if required by law or to protect the safety and security of Speakfire or our users.
- Anyone else, only with your consent.
A specific subprocessor list is available on request (e.g., for a data processing agreement).
7. Data Retention
- Audio — never stored; processed in real time and discarded.
- Transcripts and translations — kept while your account is active; deleted or de-identified within a reasonable period after you request account or organization deletion, except records we must keep for billing, tax, or legal reasons.
- Account data — kept while your account exists, plus a limited period afterward for recovery and legal purposes.
- Billing records — retained as required for accounting and tax compliance.
- Usage and analytics logs — kept for a limited period, then deleted or aggregated.
8. Cookies and Similar Technologies
We use cookies to keep you signed in and remember your active organization, plus analytics cookies (see Section 5). Audience display preferences may be stored in your browser's local storage instead. You can limit non-essential cookies through your browser settings.
9. Data Security
We use industry-standard measures to protect your data, including HTTPS encryption, organization-scoped access controls, and secure handling of API keys and credentials. No system is perfectly secure — if we discover a breach affecting your data, we'll notify you promptly.
10. Children's Privacy
The Service is intended for adults managing accounts on behalf of an organization. We don't knowingly collect personal information from children under 13 at signup. The audience view is public and read-only and doesn't require personal information to use. If you believe we've collected a child's information inappropriately, contact us.
11. Your Rights

- Ask what personal information we hold about you
- Correct inaccurate information
- Request deletion of your data or your organization's account
- Restrict or object to certain processing
- Opt out of the sale or sharing of your information (we don't sell or share it)
- Opt out of promotional emails by using the unsubscribe link in any marketing email, or by contacting us at contact@speakfire.co
12. Where We Operate
Speakfire operates from the United States; our infrastructure and providers primarily process data here. Self-serve billing requires a U.S. billing address, but the Service can be accessed from other locations.
13. Changes to This Policy
We may update this Policy from time to time. If we make a material change, we'll notify you by email at least 14 days before it takes effect.
